Setting up the Survey

After we had the questions established we next had to decide what the survey settings would be. How long would we run the survey? How often would we send reminder updates? Would we require every question to be answered? Are the free-formed questions shorter or longer questions?

A lot of consideration went into the actual administration details of the survey. We had to think about how we would encourage as many people as possible to take the survey without making them upset and feeling as if we are spamming them. This is a delicate line and a very important one. If BAO wants to do a survey again, these things have to be considered in order to continue to get responses from some of the same people. The participants have to be taken into account.

We decided to allow the survey to run for a month. This would provide ample time for participants to fit the survey into their normal hectic schedule and plan for it. This also provides plenty of time for people to forget about the survey. So we came up with a schedule of reminder e-mails. The trick with reminder e-mails is to not annoy the participants, but provide reminders so they do actually fill out the survey. We decided to do three reminder e-mails, all being about 8 days apart with the final one being the Friday before the survey ends on Sunday. This schedule, hopefully, will provide enough reminders on different days to allow for specific days to not be a factor and instead allow for reminders to fall perfectly into everyone’s schedule at one point or another.
